Editing Workflow Card View

 

What:

Workflow Card View, or Workflow for short, is an interactive feature that will help you visualize and organize ideas as they progress through your evaluation process. Use this feature to move and track your ideas across multiple columns.

You can define these columns while editing the Workflow. These columns can represent the stages that your idea will pass through, from newly submitted to validated option.

Ideas in Workflow can be sorted and filtered to control your card view. Sorting allows you to decide how the cards are ordered within a column, such as by date, score, or popularity. Filtering allows you to show ideas that may have been archived, or ideas that you have liked. Workflow is a feature available to Professional users.

 

Why:

Utilizing the Workflow feature will allow you to prioritize your ideas based on their potential impact and feasibility.

 

How:

To access Workflow Card View:

  1. Navigate to your Campaigns page on the left-hand menu bar.

  2. Choose the campaign that contains the idea(s) you wish to manage.

  3. Select Workflow from the Campaigns menu bar.

 

To sort your ideas in Workflow Card View:

  1. From the Workflow Card View, choose the column you wish to sort.

  2. Select the Sorting icon.

  3. Choose from one of the following:

    1. Newest First

    2. Oldest First

    3. Activity Score

    4. Most Liked First

 

To filter your ideas in Workflow Card View:

  1. From the Workflow Card View, select the Filter Ideas drop-down menu, located on the right side of the page, directly above the Workflow.

  2. Select the options you wish to see in your Workflow Card View.

  3. Click the Filter Ideas menu to exit. Your selected options will be saved.

 

To edit the Workflow Card View:

  1. From the Workflow Card View, choose the Edit Workflow button, located on the right side of the page, directly above the Workflow.

  2. You now have the option to:

    1. Rearrange the columns by clicking the Drag icon () and then dragging and dropping the column into place.

    2. Add a new column by selecting the Add icon (), located within the Workflow board.

    3. Delete a column by selecting the Edit icon () in the top-right corner of the column. Press Update to save changes.

    4. Change the title for the column by selecting the Edit icon () in the top-right corner of the column. Press Update to save changes.

    5. Change the color of the column by selecting the Edit icon () in the top-right corner of the column. Press Update to save changes.

  3. When finished, click the Close Workflow Edit button.

 

Best Practices:

When editing the Workflow Card View, ensure that the column structure reflects a logical progression of stages for your idea evaluation process.

Define columns that represent the key milestones or steps that ideas need to go through, from initial submission to final validation.

Keep the number of columns manageable to maintain clarity and avoid overwhelming users.

Use clear and descriptive labels for each column in the Workflow. The labels should accurately represent the stage or status associated with that column. Consistency in labeling helps users easily understand the progression of ideas and ensures a shared understanding among team members.

It is recommended to periodically review and refine the Workflow Card View based on user feedback and evolving evaluation processes. As your organization's needs evolve, you may discover opportunities to optimize the workflow structure or introduce new columns to capture additional stages or criteria.
