Which Role is Most Suitable for Me and My Team?
What:
There are two groups of users: Contributors and Professionals, with Professionals comprising of a few different role types.
Contributor
The Contributor role is the ground-level user with limited access. They're able to post their own ideas as well as view and like ideas posted by other users. Contributors can also sit on judging panels.
Contributors can also be "external" to your organization - e.g. a supplier or customer.
Professional
Professionals are power users who are able to do everything a Contributor can do and more. Read on for more information about different types of Professional user.
Professional types
In Acclaim Ideas, there are four professional types:
1. Platform Owner
This user has ultimate control and can change platform-wide settings (such as how many stages a project has by default), invite new users, add / remove user seats and delete users. (Being the Platform Owner is classed as a Professional user, but doesn't use an additional seat).
By default, your Platform Owner is also your Privacy Manager. See Privacy Manager further down on how to change this.
2. Innovation
This is the most common professional role your users are likely to have. Your Innovation Professionals can manage multiple ideas, tests, options and projects, and own "entities" within them, for example, project risks. They have access to most areas of the platform, with the exception of Settings.
Professional Innovation users can review and graduate ideas.
3. Executive
Professional Executive users can view most areas of the platform, with the exception of Settings, but in read-only mode. This is ideal if you need to invite in senior colleagues for visibility only.
4. Limited
A Limited Professional has access to Strategy, Ideas, Tests, Options and Projects that you (or other Professional users) have granted them access to.
Other user terminology
The following are terms are not necessarily roles, but attributes that give your users additional access.
External
A user with this attribute can be a third-party or supplier that you invite in order to manage specific ideas, tests, options, and projects, and be assigned tasks or things from your project registers like risks or opportunities, for example.
Privacy Manager
This user will receive any deletion requests from your platform users.
Note: To reassign your Privacy Manager, log in as the Platform Owner or existing Privacy Manager, head to the profile for user you'd like to reassign to, click Permissions > Additional roles, select Privacy Manager and click Save.
Owner & Creator / Author
Owner is used for accountability, so that other users know who is responsible for the item they're assigned to. It can be updated by any user with permissions or the user currently assigned as Owner, should it need to be reassigned in the event of a holiday, for example.
Author shows who created an item, and cannot be updated.
